The Ontimize Document Management System (ODMS) is an Ontimize advanced component which allows the storage and management of remotely stored documents. It is simple to integrate within Ontimize applications, allowing sorting, classification and storage of documents in an open standards-based centralized repository. The Ontimize ODMS integrates basic document management functions with some advanced features to ensure a comfortable user experience often lacking in such products.

 

The setting up of the ODMS gives an easy-to-use file manager type interface for the integration of both basic and advanced document management features and functions.  Basic features include upload files, move, rename, delete etc. and more advanced features include drag & drop, search by content version, create file shortcut, access prevention, audit access etc

The document manager generates thumbnails for images and PDF files, without needing to download the file to the local computer. Properties defined by the application or user are also saved for each file placed the repository, adding to the extremely important comfortable user experience.

In addition the ODMS has reserved space for storing user cache files, thus minimizing internet bandwidth usage. In this workspace, changes that occur to documents are detected automatically, and different versions for each document are automatically managed.

TECHNICAL FEATURES

 

 

• Easy-to-integrate in Ontimize applications.

 

• On the server side a repository based on JCR 1.0 standard is used which is compatible with JSR-170. This uses Apache Jackrabbit reference implementation.

 

• The indexing of Microsoft Office, OpenOffice, PDF, HTML and text documents is performed automatically using the Apache Lucene engine. Within this indexing, searching in the managed documents is available.

 

• The repository structure supports shortcuts to access other files (hard link). Also same file names, versions ... are supported . This can be modified depending on the requirements of the project.

 

• All files have several associated properties, which may contain multiple values. Some properties are automatically entered (title, description, author, creation date) and others can be inserted by setting the component on the form or from the Ontimize entities.

 

 

• The ODMS is compatible with the WebDAV protocol, so when a user has been authenticated, this user can access the data in three ways.  Over HTTP using a web browser, or accessing documents from the file browser of the operating system as a logical unit, or using a generic application which supports a WebDAV connection without having to use an Ontimize application.

 

• The ODMS uses XML files to allow the repository, the server container, the client cache and the components on each form to be configured quickly.

 

• To reduce development time, the ODMS also allows customers to use Ontimize entities for operations in the repository, such as browsing, searching, inserting or updating files, property management, versions, and so on ... by abstracting the implementation and details from the repository itself.

 

• On the client side, the local cache is configured globally for the whole Ontimize application.

 

• In each form, the ODMS component content can be filtered directly by keys or by other fields on that form. For more complex cases, the document manager allows users to create tree structures, using XML configuration files.
